The Australian Government has established free Pacific Engagement Visa Support Services (Support Services) in each participating country to provide information about the Pacific Engagement Visa program and to help participants selected from the ballot:
- understand the visa process and requirements
- find a job in Australia to meet the employment requirement for the visa
- prepare to move to and settle in Australia.
Iconic Holdings Pty Ltd (Icon) has been engaged by the Australian Department of Foreign Affairs and Trade (the Department) to facilitate the provision of Pacific Engagement Visa Support Services to individuals interested in learning more about or applying for a Pacific Engagement Visa.
Icon is working in consortium with Island Spirit and MAX Solutions (we, us, our) to deliver these services. We will collect, use, and disclose your personal information where relevant in order to deliver the Support Services to you.
The Support Services we will provide include:
- information sessions about topics such as:
- the ballot registration process;
- the visa application process and general information about how to apply for your visa if you are successful in the ballot;
- the support available to help you find a job in Australia;
- the costs involved in moving to and living in Australia; and
- what it’s like to live in Australia.
- employment assistance including:
- assisting applicants to build a curriculum vitae/resume;
- assistance with the job application process; and
- connecting applicants to potential employers.
- pre-departure support.
What personal information we will collect and how
We will collect personal information about you when you engage with our services, including in the following circumstances:
- when you register for an information session or for a support service via our website, email, in person or over the phone;
- when you make an enquiry via our website, by email, in person or over the phone in relation to the Pacific Engagement Visa or about the Support Services we can provide; or
- in the course of providing you with Support Services, such as when assisting you to secure employment.
The information we will collect about you will depend on what specific services you request, and may include:
- general information about you such as your full name, gender, and age range;
- your contact details such as your mobile phone number, address and email address;
- the details for the information session you would like to attend such as the time, date, and location;
- information regarding your attendance at an information session or Support Services you have requested and obtained;
- information about your family members, and your family composition;
- your primary language and other languages you speak;
- your previous and future work details, including:
- your desired job types;
- your employment history;
- your skills or qualifications;
- your references;
- your education/skill level;
- your preferred location to settle in Australia (if any);
- your salary (current and desired);
- anything that would prevent you from accepting a job;
- details about your ability to participate in recruitment processes arranged by the Pacific Engagement Visa Support Services, including;
- your English proficiency;
- your access to the internet;
- your ability to complete forms;
- your ability to attend virtual interviews or webinars.
In some circumstances, we may also collect sensitive information about you, such as your medical history, criminal record or disability information, where this is relevant to providing you with Support Services, for example where it is relevant to your employment or settlement needs in Australia.
How we will use and disclose your personal information
The reason we collect your personal information will depend on the specific services you wish to use. For individuals interested in pre-ballot information sessions, we will use and disclose the information you share with us as follows:
- we will share your information with the relevant in-country office providing the information session or seminar to register you for your selected event;
- to contact you regarding the event you have registered for if there is a change to the event details;
- to send you further information about the Pacific Engagement Visa and other Support Services or events you can access;
- to manage the event you have signed up for (for instance, by using your personal information to create a list of attendees);
- to manage your case, such as by allocating your enquiry to a case officer or another consortium member who can respond to you, or to provide you with further information that you may find helpful;
- to seek your feedback on the session you attended; and
- to send you marketing material about other services we think you may be interested in.
For individuals interested in post-ballot information sessions we will use and disclose the information you share with us to:
- manage your case, such as by allocating your enquiry to a case officer who can respond to you, or provide you further resources or information that you may find helpful;
- confirm your identity and successful ballot outcome with the Australian Department of Home Affairs;
- respond to your enquiries;
- enable initial employment screening;
- register you for a further event that you have signed up for; and/or
- provide you with pre-departure Support Services.
For participants engaging in our employment Support Services we will use and disclose the information you share with us to:
- manage your case, such as by providing your personal information to an employment support officer;
- confirm your identity and successful ballot outcome with the Australian Department of Home Affairs;
- contact you to set up an appointment;
- assist you with building your curriculum vitae/resume as part of the job application process; and
- link you to employers and assist you to secure an offer of employment.
You may contact us using the contact details at the end of this notice to opt out of receiving all marketing and marketing type messages from us.
Please note that we are providing the Support Services on behalf of the Department of Foreign Affairs and Trade, and any information you provide to us may be shared with the Department for the purposes of providing you with Support Services or so that the Department can otherwise manage the Pacific Engagement Visa program.
The Department may publish or otherwise share de-identified information (information that does not include your name and date of birth) when it reports, or otherwise undertakes research or evaluation activities on, the Pacific Engagement Visa program. Unless you provide your consent, your personal information will not be:
- published by the Department in any public reports; or
- shared by the Department for research or evaluation activities.
You are not required to provide your personal information to us however, if you don’t, we may not be able to respond to your enquiry or provide Support Services to you.
Sharing personal information outside of Australia
The personal information we collect about you, as outlined above, may be subject to cross-border disclosures, between your home country, or another participating country and Australia. All entities delivering the Pacific Engagement Visa Support Services are contractually obliged to comply with the Australian Privacy Act and the Australian Privacy Principles (APPs). Where your information is subject to cross-border disclosure, it will only be used for the purposes as outlined above.
How is your information stored?
All personal information collected during the course of providing Pacific Engagement Visa Support Services will be stored into a client management system owned and operated by Icon. If the Department engages a new contractor to provide any Support Services, your personal information may be securely transferred to the Department and/or the new contractor. You will be advised by us or the Department if a new contractor is engaged to provide you with Support Services.
